Types of information gathered and used
Autograph Safaris may collect data through a web contact form, a brochure download form, completion of the visitors book and direct discussion with potential customers met at trade show, exhibitions, events, etc, and direct contacts. Such information will usually include full name, email, phone number, destination or trip of interest, budget, and any other information potential clients choose to divulge at this stage. When potential clients pre-book or book a trip, more detailed data such as address, birth date, passport details, and health are collected thanks to the pre-registration form or the registration form. Additional information on potential clients’ interests to ensure the most personal experience and personalised trip may also be collected.
We store this information in a secure database and use it to provide potential clients with quotes, discuss travel arrangements, send requested information, send digital newsletters if requested or agreed, plan holidays, book trips, ask for feedback on services, and notifying of any changes to bookings.
Potential client and client information are never shared, sold or rented to any third parties with the following exceptions:
. When clients book a trip, this data will be passed on to the Autograph Safaris agent on the ground to ensure they have a safe trip and arrangements are held.
It is our practice to provide you with an opportunity to opt out of our database in each newsletter communication and remove yourself from this distribution list by sending us an e-mail request us to remove you. You can review, update and ask us to delete your information by contacting us at firstname.lastname@example.org.
The Autograph Safaris digital newsletters are sent using MailChimp. MailChimp safely stores your name, email address and location so we can send you relevant marketing email campaigns and analyse responses. MailChimp may need to process personal data to perform some critical tasks, such as preventing abuse, and providing support. You can opt out or in to our e-marketing at any time by using the unsubscribe link in our emails, signing up to our newsletter via the sign-up page, or emailing email@example.com with your request.
Information retention and security
The time period for which Autograph Safaris keep data depends on the data type. Most of our data is retained for three (3) years. Legally, some financial information must be kept on files for six (6) years.
Data is not kept on our systems for longer than is needed, and is periodically reviewed and removed.
Every effort is made to ensure your data is stored and processed securely, including physical security and firewalls.
We use ‘Cookies’ in order to personalize your visit to our web site and enhance the experience by gaining a better understanding of your particular interests and customizing our pages for you. A cookie is a message given to a web browser by a web server and which is then stored by the browser in a text file. Each time the browser requests a page from the server this message is sent back which enables the user to be identified. We may use the information provided by cookies to analyse trends, administer the site, or for research and marketing purposes to help us better serve our clients. No information which personally identifies you will be collected through the cookies. Autograph Safaris may post testimonials to its website from time to time. Information to allow identifying you from the data we publish on testimonials on the website is removed. The data included on our testimonials includes first name, surname initial, an excerpt from your feedback; it is not possible to identify a person from these testimonials.
